Pre-event planning The objective was to brief the adhesive manufacturer's senior management from the UK and North America on company policies and strategies in order to disseminate this information to their relevant departments. "The client asked for an atmosphere of quiet concentration for some intense boardroom discussions," explains Becky Dodd, conference and events coordinator at Nunsmere Hall.
The venue was chosen for its accessibility. The M6 is nearby, with short transfer times from both Liverpool and Manchester airports, yet the hall is set in a secluded location. The Delamere Suite was chosen as a base for its privacy and private dining facilities.
Challenges The client was keen to introduce Cheshire to its overseas delegates and, being a five-day event, it wanted to keep the menu varied. It also requested privacy over dinner to continue discussions. The client brief stipulated that there be space to relax, so the hotel had to find delegates space away from the boardroom. Finally, discretion was a key consideration, so hotel staff had to be sensitive about the confidential nature of the discussions.
Solution Nunsmere chefs prepared a variety of buffets for lunch and the hotel arranged for a dinner one evening at a local gastropub to showcase local produce. It served dinner every other evening in a private dining room. The set menus reflected the quality of local suppliers.
All the delegates stayed in Nunsmere's eight junior suites and 15 executive rooms. This meant they all had a working area with free wi-fi and a lounge area for reading and relaxing.
To avoid interrupting the meeting, staff delivering refreshments for breaks left the trays on a sideboard outside the Delamere Suite and knocked on the door to indicate when it was ready to serve.
Post-event analysis Scapa Group corporate administration manager Julia Wilson was happy with the outcome. "The feedback from the senior managers was extremely positive," she says "The venue exceeded our original brief, and as a venue fits extremely well with the profile of Scapa."
Dodd adds: "We were very conscious of being attentive in a subtle way to not interfere with Scapa Group's meetings. The team worked together to meet the client's requirements and it has since booked more events with us."
