The Brief: Venues Event Management (VEM) was tasked with organising a relaxing incentive trip for 15 of MAN Truck and Bus' service providers and their partners. The client wanted to return to the Valparaiso Palace hotel in Mallorca after enjoying a successful incentive trip there a few years before.

Challenges: "We wanted to give every couple the flexibility to fly from their local airport," says VEM client manager Natalie Millard. "We didn't want them to miss the arrival dinner, but we didn't want them to be up at the crack of dawn to catch their flight either."

Solution: The agency gave the group a choice of seven airports throughout the UK from which they could choose to fly from.
"I contacted all of the airlines and checked availability," says Millard. "Not everyone flew from their preferred airport as some flights were booked, but everyone was happy and they all arrived in time for dinner."

Execution: Delegates arrived between 10am and 6.40pm and were all greeted at the airport by Millard before being whisked straight to the hotel. The group was treated to welcome drinks followed by a free afternoon to use the spa facilities or swim and lounge by the pool, before a tapas-style dinner at La Bodeguilla.
On the second day, the group split into two, with some playing golf and others going for a tour of mountain village Valldemossa, where they saw a glass-blowing demonstration at La Fiore glass factory followed by a tour of the monastery. Dinner was hosted on a private terrace at Es Baluard restaurant.
Delegates had the next day at their leisure to either relax by the pool, or make the brief stroll into Palma, before the gala dinner at Bahia Mediterraneo. Situated on the fifth floor of a stunning building, the eatery offers fabulous views of the city and cathedral.

Verdict: "Our incentive trip to Palma, was very successful and all of the delegates offered very positive feedback," says Martin Pickering, communications, events and PR manager for MAN Truck and Bus UK. "The hotel's facilities and views were excellent and the evening venues and trips offered style in a relaxing environment. VEM was very efficient and ensured everything went to plan."
