Penguin Random House hosts an annual company conference to celebrate its people, authors and books that is held in various locations. The conference in March 2017 was held in London and the company planned a gala dinner for all 1,200 delegates at the end of the event. The evening needed to include a speech from the CEO, followed by full sit-down dinner and a big party. Motivation, fun, style, quality, artistic, entertaining, sense of community were all in the brief.
The Conference People was appointed to manage both the conference and gala dinner. Having worked with Penguin Random House for many years, with a history of successful events, it understands the company and its ethos. Its venue finding service started the project off by locating potential venues that fitted the brief. It looked at every venue in London that could accommodate 1,200 for a sit down dinner. The Roundhouse fitted the brief perfectly and reflected the requirement for a venue with an artistic, creative heritage.
It was decided to use sprig tables to maximise the seating and to enable a ‘family style’ shared service for the dinner. Boulevard Events was appointed as the caterer and created a menu that was fun, varied and flexible enough to cope with the large number of dietary requests.
Production Bureau was responsible for production on the night and made full use of the unique architecture of The Roundhouse with creative lighting. TCP managed the logistics from planning through to set up on the day and the event itself. This involved working closely with the team at The Roundhouse and understanding the constraints of a busy arts related venue.
After a short speech by the CEO and dinner there was a disco by djBadja, a photobooth and a party atmosphere.
There was a great buzz on the night and The Roundhouse was the key to that as a unique venue. The CEO of Penguin Random House CEO described the event as ‘absolutely wonderful’ and ‘could not have gone better’.
