Pre-event planning - Global supplier of health and wellness products Forever Living UK needed a purpose-built venue for its annual incentive programmes.

The programmes, which were developed to reward the company's top distributors for their achievements, are usually two separate events - the Asian Rally, focusing on the most successful Asian distributors, and the World Rally, which focuses on the most successful global distributors. But in 2012, the two events were combined to form the World & Asian Rally 2012.

Objectives - Nick Woodward-Shaw, director of events at Forever Living, says: "Because we were combining the two annual events, we had to find a perfect new location as well as nearby venues and hotels. The major objectives of the events were to recognise and reward our distributors for their efforts."

Challenges - As Woodward-Shaw explains, any event of the size they were hosting was going to pose logistical challenges. "We had about 300 qualifiers for the World Rally and 5,000 attendees for the Asian Rally," he says. "Moving this number of people around a city was a challenge. Therefore, the infrastructure of the location we chose was of vital importance."

Solution - Located in the northeast corner of Chek Lap Kok island, with more than 70,000sqm of event space, Asia World-Expo was the ideal venue for the Forever Living rally.

As well as attending training, motivational speeches and recognition awards, delegates were treated to tours of the city and trips to Lantau and Hong Kong Islands.

Client verdict - "The venue and destination were really exciting for our delegates," Woodward-Shaw says.

Post-event analysis "Everything went really smoothly and the feedback we have received has been really positive," adds Woodward-Shaw.
