Pre-event planning: SPP Pumps manufactures centrifugal pumps and associated systems for a wide range of industries. Each year it holds a meeting for its international senior management team. The gathering aims to provide delegates with a company update, facilitate networking and enable planning. SPP Pumps appointed its long-standing agency, Bright Sky Events, to deliver the event. The client opted to treat delegates, who came from far afield, to a quintessentially English-themed week and chose Fawsley Hall, in Northamptonshire, as a setting.

Challenges: As well as allowing time for meetings, the schedule also needed to include an incentive and team-building element. The team at Bright Sky planned a range of evening activities for the week. These included a medieval banquet at Warwick Castle, a private dinner in the Salvin Suite at Fawsley and a tasting and talk by a local master brewer. On the third evening, the group was due to go by coach to Stratford Upon Avon for a walking tour, followed by dinner at The Alveston Manor hotel, but traffic delays on the motorway jeopardised the plan.

Solution: "Fortunately our on-site event manager had checked the traffic reports so was aware of the problem, and when the coach driver arrived was able to supply him with an alternative route," explains Mike Prosser, director at Bright Sky Events. The rest of the meeting went smoothly with the group using Knightley Court, a Grade II-listed building near the hotel with four meeting rooms and a 29-seat cinema. Team-building activities were laid on by agency KDM in Fawsley's grounds.

Post-event analysis: "The location was good in terms of access to Birmingham and Heathrow, plus it was within striking distance of places like Warwick Castle," says SPP Pumps operations director Terry Newby. "Fawsley has set a very high benchmark for future meetings."
