Challenges

Siemens PLM Software wanted to deliver an internal training event for 800 employees from across the UK and Europe, combining plenary sessions and break-out meetings with informal networking opportunities and an awards reception. BSI Meetings & Events had to ensure the chosen destination had sufficient transport links and a suitable, large space that could accommodate the delegate numbers and break-out sessions.

Solution

The main venue was the Auditorium Hotel in Madrid, as it provided a separate conference centre on one floor. The event ran across four days, with delegates attending a mix of plenary sessions and more than 150 break-out meetings.

A welcome dinner at the hotel was held on the first evening, with a gala dinner on the second night at La Masia, an area of parkland covering 4,000 acres to the south west of Madrid, a five-minute drive from the centre.

Working with DMC Cititravel Madrid, BSI created a Spanish fair at La Masia, with marquees and traditional Spanish fairground activities to keep the delegates entertained throughout the evening. For the gala sit-down dinner on the last evening, guests returned to the Auditorium where the main conference centre had been transformed by production company Special Effects.

"The venue enabled our delegates to network and move freely between sessions with ease," says Cassandra Coe, Siemens event manager EMEA, product lifecycle management. "The hotel's facilities, catering and ability to accommodate the vast majority of our staff was a big plus point."
