Pre-event planning: The international logistics company holds a team-building and motivational event each December for its staff. The location is determined by accessibility for the 84 delegates, who are based in ten offices across Europe. Logistics operator Danica Cupic, who organised last year's event, attended an Austrian Convention Bureau event in June after contacting the Austrian National Tourist office for information. She visited Vienna in August to check out the facilities and the locations of the four pre-selected hotels.
The main objectives of the event were to strengthen relationships between staff across the European offices, 58 of whom are based in the UK. "It is also aimed at rewarding staff for their hard work during the course of the year," adds Cupic.
Challenges: As the event is held annually, trying to be innovative and original is one of the key challenges, says Cupic. "We also aim to ensure the event keeps within the traditions of the country we visit, which means visiting local hotels and restaurants, and taking part in team-building activities local to the country and city we visit."
Solution: Staff attending the trip flew to Vienna in the afternoon after working in the morning. On the first evening, attendees had a casual meet-and-greet in a local Austria-themed bar called Bermuda Brau.
In keeping with the firm's desire to make the weekend an authentic stay in Austria, the staff took part in a team-building event on Saturday morning - apple strudel-making.
An afternoon of free time followed, and guests were then treated to a three-course dinner and dance at Hotel Stefanie, where they were staying, which had a fancy dress theme.
"Staff from each European office came dressed in another office's country style," says Cupic. "We held a parade and an independent panel made up of the hotel staff decided who were the best dressed."
While typically the staff go on a city tour on the Sunday, last year was an exception due to limited time available prior to people's return flights.
Post-event analysis: "Everybody agreed that the weekend matched the original brief we set ourselves," says Cupic. The company received feedback that confirmed staff overwhelmingly enjoyed the weekend.
