Pre-event planning: Vertex, which handles outsourcing and IT services for its 200 clients, wanted to hold a dinner for its clients and staff during the Local Government Association conference in July. The three-day annual conference was being held at the Bournemouth International Centre (BIC). Vertex's marketing manager Helen Taylor, who organised the dinner, decided on the Royal Bath Hotel due to its proximity to the BIC and its central location - on the seafront with panoramic views across the bay.
Challenges: The event co-ordination ran smoothly. Senior events executive Ina Vistan and the events manager met with Taylor the day before the event, and on the day itself to make any last-minute adjustments. The main challenge was that the number of expected guests and the guest seating plan kept changing on the day. "Some guests were opting to go to another social event or cancelled on the night. Others confirmed at the last minute, but this was all managed smoothly," says the hotel's director of sales, Chrys Mackay.
Solution: Vertex held pre-dinner drinks in the hotel's main lounge, before guests were called through to the spacious Gladstone Suite for dinner. The room has natural daylight and its own private bar, as well as disabled access from the main road.
Post-event analysis: Mackay says the client was "very happy with the outcome". Taylor says: "The event was a great success for us and both the venue and the location were ideal. The staff were very flexible and helped everything run smoothly. We would definitely look to run an event there again in the future."
