Pre-event planning: Civica UK, a systems and outsourcing company, wanted to hold a summer fun day to thank staff for their hard work. The company has previously held Christmas parties and localised events, but this time the venue had to be easily accessible for staff based all over the UK. Civica chose Warwick Castle because it was centrally located and was able to host more than 200 delegates.

Challenges: The group included 80 children, so there had to be activities to keep them entertained. "This was essential if the parents were going to enjoy themselves," says Civica managing director John Hood.

Solution: Warwick Castle put together a package that included access to the castle and the grounds, a team of event hosts, exclusive use of a private marquee and a two-course barbeque. Extra activities included bouncy castles, face painters and medieval entertainers. Highlights included archery displays and a bird of prey show.

Post-event analysis: Civica was extremely pleased with the event and the venue. "It was a fantastic day that really hit the spot with both adults and children. As a venue, it covers all bases with its activity programme and there was more than enough space," says Hood. "The experience we enjoyed will certainly be difficult to top and we would love to return to the castle next year." He adds the event was also positively received by staff. "After the event, I was inundated with positive emails from employees."
