Good wine and food make a conference, incentive or corporate event
go with a swing, but good organisers know it is the venue that will make
the event really memorable.
That is why unusual venues are becoming so popular. Rather than having
100 or more delegates walking into a run-of-the-mill conference room in
any old London hotel they might have visited many times before,
organisers are opting for venues such as HMS Belfast, moored on the
Thames by Tower Bridge, London Zoo or Kensington Palace.
The choice of alternative venues in London is endless. Some have
facilities for conferences and corporate functions, others can host
corporate entertaining only by day while others throw open their
facilities to companies in the evening. The Cutty Sark, for example, is
available for dinner - maximum capacity is 80 - or for buffets, where it
can accommodate up to 180 guests, between 5pm and 11pm.
There are drawbacks to unusual venues. The price can be high, lighting
might not be as good as in a purpose-built conference venue, and meeting
space can be quite limited. The Tower of London has a maximum capacity
of just 100 theatre-style, while the Natural History Museum can hold up
to 200. But budget aside, these are not major issues. After all, the
attraction is not the room, but the venue itself.
Organisers holding events in the London Planetarium, for example, can
arrange a tour of Madame Tussaud's next door. "Where else can you view
life-size waxworks as you walk into a company presentation?" asks event
administrator Camilla Simpson. At the Tower, delegates can break their
conference and view the Crown jewels, while conferences in the Natural
History Museum can be combined with a tour of the exhibitions. Not
surprisingly, the giant Diplodocus dinosaur in...

When BT Airwave wanted to give its personnel an insight into how
the new Tetra Mobile handsets might work in a real life emergency
setting, its agency decided to use Duxford, a former World War Two
aerodrome and home of the Imperial War Museum. The resulting event was
an afternoon of aerial and ground reconnaissance using hand-held radios
that simulated the way the product would work.
According to Tracey Curtis-Taylor, business development manager for Pump
House Productions: "Duxford was considered to be the perfect setting for
the event; it was one of the most strategic airfields of the war being a
Spitfire base and famous for the 'Big Wing' formations led by the
legendary air ace, Douglas Bader. The idea was to use the setting as an
inspiration to the group in terms of teamwork and communication."
The 160-strong group arrived from all around the country and included
staff from all levels - from the managing director down. They met at the
Stansted Hilton and were bussed to nearby Duxford where they reported to
the 'Operations Room' - a purpose-built marquee. They were welcomed
there by 'Biggles', an actor playing the fictional World War One pilot,
who briefed them on health and safety and the day's events. The marquee
was used throughout the day for the buffet lunch, afternoon tea,
presentations and strategic company messages.
One of the key objectives was for staff from different locations and
divisions, as well as some new recruits, to get to know each other
better.
The group was divided into teams of eight and each one was given a
two-letter identifier based on the phonetic alphabet such as 'Alpha
Bravo' or 'Charlie Tango'.
Delegates used these identifiers to mark their position and provide
observation reports from around the site...
